Job Description:

POSITION DESCRIPTION TITLE: Office Assistant DEPARTMENT: Directly Operated Center REPORTS TO: Center Director PRIMARY FUNCTIONS: Assists in the daily administrative tasks of the center by maintaining its office entry point and reception duties. KEY ROLES (Essential Job Responsibilities): A. Keeps updated emergency information for each child in the central file and classrooms.1. Complete daily food count and monthly food book. Call in meal counts.2. Ensure all required records for children are accurate and complete.3. Complete re-determination paperwork accurately and submit on time.4. Complete enrollment paperwork accurately and submit on time.5. Maintain center waiting list in cooperation with center director.6. Complete monthly reports and submit on time.7. Order cleaning and kitchen supplies and submit list for office supplies needed.8. Assist director as needed in the completion of miscellaneous forms.9. Assist director in the completion of personnel packets and maintaining files.10. Check on children's absences.11. Monitor proper staff sign in and sign out.12. Monitor proper parent sign in and sign out.13. Prepare monthly classroom attendance, meal count sheets and menus. Notify staff of menu changes or cancellations.14. Prepare parent sign in and sign out sheets.15. Collect and record child care fees, send out collection notices as needed.16. Check fee book weekly for fee tracking and check fee sheets for accuracy.17. Send out notices for immunizations, physical and re-determinations.18. Maintain confidentially regarding families, staff and all center business.19. Assist in monthly fire drills.20. Mails out monthly newsletters to the board of directors.21. Ensure staff has adequate copies for daily reports, health checklists, etc.B. Contributes to daily management of the center's front office.1. Greet and assist the public and parents. Ensure all visitors sign in.2. Answer telephone, assist caller, communicates messages as needed.3. Communicates out of the ordinary daily occurrences to director or person in charge.4. Keep office neat, clean and organized.5. Calls parents of sick children and supervises sick children.C. Works cooperatively as part of the team to implement the program.1. Communicates openly and effectively with caregivers, asst. director, director and program coordinator.2. Supports team members' efforts to insure the smooth, safe operation of the center.3. Attends staff meetings and trainings as instructed by the director.4. Obtains CPR and First Aid certificates and keeps them current.5. Maintains working relationships with central office staff and other community agencies involved with the center.2D. Contributes to the overall success of the Agency.1. Promotes professional image of the center.2. Makes visitors to the center feel welcomed.E. Performs related tasks as assigned. SKILLS/KNOWLEDGE REQUIRED: High School Diploma. Must meet all required screenings. Has 45 hourChild Care Worker certificate or will begin within 90 days of employment and complete within one year. Must have the ability to work with the public, children and as a part of a team with other staff members. Written and oral communication skills a necessity. Must be organized and detail oriented.
